OneDrive Storage Full? How to Free Up Space Without Losing Files

A OneDrive full warning can mean your Microsoft cloud quota is full or your computer is low on disk space because OneDrive files are stored locally for offline use. Check your storage online first. Files On-Demand can free device space, but it does not reduce OneDrive cloud usage. If your cloud quota is full and you need to keep files, a cloud-to-cloud transfer tool like All Cloud Hub can help transfer files to another cloud account that has enough space to move your files. Verify the destination you want, then remove the OneDrive copies and empty the online OneDrive Recycle Bin to reclaim cloud space.

OneDrive storage full can mean either your Microsoft cloud quota is full or your computer is running out of local disk space because OneDrive files are stored offline. Check your OneDrive or Microsoft storage usage online first. Files On-Demand can free device space, but it does not reduce the OneDrive cloud quota.

Removing a local copy and deleting a file from OneDrive are different actions. One changes what your computer stores. The other removes the cloud copy. Start by identifying which storage is full. Then inspect usage, reclaim the correct space, preserve files you need, and troubleshoot any warning that remains after deletion.

First, Check Whether OneDrive or Your Device Is Actually Full

OneDrive cloud storage and computer disk storage are separate.

A OneDrive quota warning needs cloud-storage cleanup. A low-disk warning on your computer can often be fixed with Files On-Demand without removing the cloud copy.

What you see What is likely full What to do next
Your Microsoft account or OneDrive website says the storage quota is full Microsoft cloud storage Check online storage usage and the available allowance.
Windows or macOS reports low disk space, but your online OneDrive account has room Device storage Review local OneDrive copies. Use Files On-Demand if appropriate.
The OneDrive desktop app says full, but the website shows space available The app may show a stale status, or it may be signed in to another account Confirm the signed-in account, then use the troubleshooting steps below.
The warning appeared after a subscription or storage promotion changed The available allowance may have decreased Compare storage used with the current allowance.

Files On-Demand does not fix a full OneDrive cloud quota. An online-only file still lives in OneDrive and counts as cloud storage. Files On-Demand changes whether the file’s contents are stored on your computer, not whether the cloud copy exists.

Check local disk use on the computer too.

  • On Windows, open Settings > System > Storage.
  • On macOS, open Apple menu > System Settings > General > Storage.

Compare that result with the online OneDrive quota. They measure different storage.

For example, one person may have hundreds of gigabytes in OneDrive but use little laptop space because most files are online-only. Another person may have plenty of OneDrive capacity left but a nearly full laptop because many files are stored locally for offline use.

If the cloud quota is the problem, find out what is using it before removing files.

Check What Is Using Your OneDrive Storage Before Deleting Anything

Check both your current storage use and your storage allowance before deleting files. An account can become full because stored data increased, or because the available allowance fell after a subscription, renewal, or promotional storage change.

If you use a personal Microsoft account

Open the Microsoft storage section of your Microsoft account dashboard to see your current usage and allowance. OneDrive’s Manage storage view can also show large files.

The Microsoft storage breakdown can include OneDrive files and photos, Recycle Bin items, Outlook.com attachments and inline images, Teams attachments and recordings, Loop content, and Designer images. O

utlook.com also has a separate mailbox storage measure for email, calendar items, and contacts. Attachments can count toward both cloud storage and mailbox storage, so check the dashboard’s breakdown rather than assuming every Microsoft service uses one identical quota.

Look at both the amount used and the amount available. If your files have not grown but the allowance has dropped, review your subscription status and any storage bonus that may have expired.

If you use a work or school OneDrive

In OneDrive on the web, select Storage used near the lower-left corner. The page shows large files in your work or school account. If you have access to Storage Metrics, use it to inspect a more detailed breakdown.

Your work or school OneDrive quota is set by your organization and may also manage storage through a shared pool. The allowance can differ by employer, school, license, and administrator settings. Do not assume that another user’s quota applies to your account. If the quota itself looks wrong, ask your Microsoft 365 administrator to check it.

What you find Next action
Large OneDrive files or folders Review the largest items and remove only what you no longer need.
A large online OneDrive Recycle Bin Check its contents, then permanently clear deleted items if you are sure.
Outlook storage is a major category Review large messages and attachments in Outlook.
Your stored data is similar, but the available allowance fell Check the subscription, renewal, or promotional storage status.
Work or school storage remains unexpectedly high Ask an administrator to review Storage Metrics, version history, retention, and the assigned quota.

Once you know what uses the quota, clean that source instead of applying every storage tip you find.

How to Fix OneDrive Storage Full and Reclaim Cloud Space

To reclaim OneDrive cloud storage, remove data that counts toward the quota and permanently clear deleted OneDrive items from the online Recycle Bin. Start with the largest unnecessary content instead of deleting many small files at random.

Empty the online OneDrive Recycle Bin

Deleting a file does not always reclaim cloud storage right away. Deleted OneDrive items can remain in the online OneDrive Recycle Bin and continue to count toward your storage. The Windows Recycle Bin and Mac Trash are separate from this online bin.

To clear the OneDrive Recycle Bin:

  1. Go to OneDrive on the web and sign in to the account that shows the full warning.
  2. Select Recycle bin in the navigation pane.
  3. Review the items. Restore anything you still need.
  4. Select Empty recycle bin and confirm.

Emptying the online bin permanently removes those items from that bin. Do this only after you have checked that nothing needs to be restored. If you cannot clear a work or school bin, ask your administrator about the account’s policies.

Remove the largest files you no longer need

Use OneDrive’s storage page or largest-files view to find content that takes up the most space. Review large videos, project exports, ZIP archives, old backups, photo collections, and finished project files.

Delete only items that you no longer need in OneDrive or have safely preserved elsewhere. Check a folder before deleting it, especially if it contains work files or shared content. After deletion, complete the online Recycle Bin step above to reclaim the space.

Clean Outlook storage if Microsoft shows it as a major consumer

Clean Outlook only when the Microsoft storage dashboard shows that Outlook content matters to your quota, or when Outlook reports that its mailbox is full.

In Outlook.com, open Settings > Account > Storage to see which folders use the most mailbox space. Review large emails and attachments, including items in Sent Items.

Delete messages you no longer need. If you want to remove them permanently, clear them from Deleted Items as well.

Attachments can count toward both cloud and mailbox storage, so check both measures.

Check other Microsoft storage categories only when needed

If the dashboard identifies Teams, Loop, Designer, or another Microsoft service as a significant storage user, review that category in the service where it was created. Remove only content you no longer need, and check the service’s recovery options before deleting it.

Do not delete unrelated OneDrive files to solve a storage category that the dashboard does not identify. The dashboard should guide the cleanup.

If the largest files still need to be kept, do not delete them. The next section explains how to keep the data while reducing OneDrive usage.

How to Free Up Space on OneDrive Without Losing Your Files

If the cloud quota is full and you need to keep the files, copy or move them outside OneDrive before removing the OneDrive copies. If only your computer’s disk is full, Files On-Demand can reduce local storage use while leaving the cloud files in place.

If your computer is full, use Files On-Demand

Files On-Demand lets you see OneDrive files in File Explorer or Finder without keeping each file’s full contents on your computer. Opening an online-only file downloads it to the device. Files marked Always keep on this device stay available offline and use local disk space.

To free up device space, wait until OneDrive finishes syncing. Then right-click files or folders you do not need offline and select Free up space on Windows or Free up space on Mac. Do not choose Delete if you want to keep the cloud copy. Online-only files need an internet connection to open.

Files On-Demand frees device storage, not OneDrive cloud quota.

If OneDrive cloud storage is full, move files outside OneDrive

To keep files while reducing OneDrive usage, preserve a copy outside OneDrive, verify it, then remove the OneDrive copy. Moving files to another folder that is still inside OneDrive will not reduce the cloud quota.

Use this order:

  1. Copy the files to a non-OneDrive location, such as an external drive, a local folder outside the OneDrive folder, or another cloud account. If your computer is also low on space, use an external drive or another cloud account instead of the same local disk.
  2. Open a selection of files in the new location. For a large transfer, compare the folder contents as well as opening a few files. Make sure the destination has enough storage.
  3. Keep the OneDrive originals until you have confirmed that the copies are complete and usable. Check sharing or access needs before removing a source file.
  4. When you are ready, remove the OneDrive copies and complete the online Recycle Bin step above.

A completed video project may need to stay available for records but not in your active OneDrive. You could copy the archive to an external drive or another cloud, check that the files open, then remove the OneDrive copy and clear the online bin.

Move selected files to another cloud without downloading them first

All Cloud Hub supports cloud-to-cloud transfers between connected services, so you can send selected files to a supported destination without first downloading them to your computer. Connect OneDrive and the destination, select files or folders, then choose where to transfer them.

You can connect your OneDrive account and authorize access through the provider’s sign-in page. Review the OAuth authorization request before approving it. Check your transfer allowance and storage usage before transferring a large archive, and confirm that the destination has enough free space.

For a cautious transfer, choose Copy first. It leaves the OneDrive original in place and creates a destination copy. Open files at the destination and confirm that the transfer completed. Then remove the OneDrive source only if you want it to stop using OneDrive storage.

In All Cloud Hub, Move removes the source after a successful transfer. Verify the result and check your OneDrive usage before assuming the quota has changed. Starting a transfer does not reduce OneDrive usage while the source remains there.

Sharing permissions may also need to be set again at the destination.

If everything must stay in OneDrive, increase the available storage

If every file needs to remain in OneDrive, increasing the available storage may be the right option. Personal account holders can check the storage options available for their Microsoft account. For work or school storage, ask the administrator whether the assigned quota can be changed. Plan terms and allowances vary, so check the amount shown for your account.

If you already removed files but OneDrive still says the account is full, the next step is to check why the quota has not changed.

Why Is OneDrive Storage Full After Deleting Everything?

If OneDrive still shows full after you delete files, first confirm that the online OneDrive Recycle Bin is empty and allow Microsoft time to update the quota. If the warning remains, check whether your allowance changed, another Microsoft service uses storage, or a work or school retention policy preserves content.

Deleted files remain in the online OneDrive Recycle Bin

If the online Recycle Bin still contains deleted files, complete the cleanup described earlier.

Microsoft has not updated the quota yet

Storage figures may not change as soon as you delete files. After a deletion, the storage page can take up to 24 hours to update. Refresh the page after that period. If the web dashboard still shows the old amount, contact Microsoft support.

Your available storage decreased

Your files may not have grown. Your allowance may have become smaller after a subscription expired, a renewal failed, or a storage promotion ended. Check your current subscription and allowance in the Microsoft account dashboard.

Another Microsoft service is using storage

Return to the storage breakdown from the earlier audit. If it names Outlook, Teams, Loop, Designer, or another service, clean that category in its own app rather than deleting unrelated OneDrive files.

Shared content may be affecting storage

Shared content does not all count in the same way. Ownership and whether you added a shortcut or copied the files can matter. Check the item and the storage breakdown before deleting anything. Removing files from a shared folder can affect its owner or other people who use it.

Work or school retention is preserving content

A work or school organization may use retention or compliance rules that preserve copies of changed or deleted files. Those copies can remain in a hidden Preservation Hold Library and use storage for the OneDrive site even when the files no longer appear in your usual folders. The organization controls those rules. Contact your Microsoft 365 administrator or compliance team. Do not try to bypass the retention policy.

The web quota is correct but the desktop warning remains

If OneDrive on the web shows space available but the desktop app still says full, first confirm that the app is signed in to the same personal, work, or school account you checked online. Close and reopen OneDrive, then check the warning again.

If the message remains, troubleshoot OneDrive sync. Reset OneDrive or unlink and relink your account only if those steps address the issue. Reinstalling OneDrive should not be your first step.

How to Stop OneDrive From Filling Up Again

Prevent OneDrive from filling again by controlling automatic uploads, keeping useful content in active OneDrive storage, and moving inactive archives elsewhere before the account reaches its limit.

Review camera uploads

If camera upload is enabled, check whether all photos and videos need to stay in OneDrive. Review the selected account and whether video uploads or extra photo folders are included. OneDrive does not enable camera upload for every user by default, so check the setting instead of assuming it is on. Be selective about device folders that may upload another copy of images already stored elsewhere. On Android, check Camera backup settings; on iOS, review Camera Upload settings.

Review PC folder backup

If OneDrive folder backup is enabled, files in selected Desktop, Documents, or Pictures folders can be added to OneDrive. Check OneDrive Settings > Sync and backup > Manage backup to see which folders are included. If you turn backup off, choose whether the files should remain on the PC or in OneDrive. Do not assume both copies will stay.

Archive completed projects

Finished videos, old exports, large archives, and historical projects may not need to stay in active OneDrive storage. Move them only after you have a verified copy in a location with enough space. Avoid keeping both a working folder and an unnecessary duplicate archive in OneDrive. Keep another backup if those files are important.

Monitor storage used and storage available

Check both figures from time to time. New uploads can increase usage, while a subscription or promotional change can reduce the allowance. Watching both numbers helps you act before OneDrive reaches its limit.

Frequently Asked Questions

Does a folder shared with me count toward my OneDrive storage?

Usually, no. A shared-folder shortcut in your OneDrive uses the folder owner’s storage, not yours. A separate copy saved into your own OneDrive counts toward your quota. If OneDrive flags a shared folder as a possible cause of a full warning, check how the item appears in your account before removing it. Deleting files from a shared folder can affect its owner and other people.

What happens if OneDrive stays over the storage limit?

For personal accounts, uploads, edits, and sync can stop, and existing files can become read-only. If the account stays over its limit, it may be frozen after three months. Microsoft may delete the OneDrive and its files after six months. Newer Microsoft 365 shared-storage plans have separate terms. On those plans, users may keep access for up to one year after the shared storage pool exceeds its limit. Work or school accounts follow organization rules, so check your account’s policy before relying on a timeline.

Can an expired Microsoft 365 subscription make OneDrive suddenly show full?

Yes. A subscription expiration, failed renewal, or expired storage promotion can reduce the allowance while leaving your files unchanged. The same stored data can then exceed the new limit. Check the subscription status and the current allowance in your Microsoft account.
